Before You Approve an Outdoor Furniture Sample, Record What You Are Approving

Review outdoor furniture samples with a written checklist for dimensions, finish, upholstery, included parts and packing before approving a bulk order.

LG303-6 — Outdoor Teak Dining Chair

“The sample looks good” is a useful reaction, but it leaves important questions open. Which finish was accepted? Did the approval include the cushion configuration? Was the sample supplied with the same parts expected in the bulk order? A short written approval record turns an impression into a clearer purchasing reference.

Give the sample an identity

Record the model number, sample date and specification or drawing version. Add photographs that show the full product and the details being reviewed. Label material swatches and upholstery references so that a later discussion does not depend on phrases such as “the lighter fabric” or “the brown finish.” Where an exact reference is unavailable, identify the point as unresolved.

Review the product in the intended context

Check the overall dimensions and the details that affect how the furniture will be used. For a dining combination, consider table height, chair arms and clearance together. For modular seating, verify orientation and how the selected pieces fit the planned layout. Include the people who will use, clean or move the furniture in the review where practical. These checks support selection; they do not replace any tests required for the project.

Describe what is acceptable

Agree with the supplier on the acceptance criteria that matter to the order. Relevant points may include dimensions and tolerances, finish references, visible workmanship, cushion construction and supplied components. Natural materials can vary in appearance, so discuss the acceptable range instead of relying on one photograph. Do not invent a tolerance or test result that has not been agreed or documented.

Review packing and identification separately

A sample is often evaluated outside the final shipment configuration. Confirm the planned packing, package labels, assembly information and included fittings for the bulk order. If the receiving team needs items grouped by room, zone or model, raise that requirement before packing is finalized. Confirm whether it can be accommodated and whether it affects cost.

Close the change loop

Write down accepted points, required changes and items awaiting confirmation. When a material, dimension or detail changes, identify the new version and agree whether another sample or reference review is needed. Separately confirm the bulk inspection scope, timing and reporting arrangements. Sample approval provides a reference, while inspection checks the agreed aspects of the actual order.

For a LiYoung sample discussion, tell Lily which model and configuration you want to evaluate and what decision the sample needs to support. Sample availability, costs, preparation time and the approval process are confirmed for the request.
